On Configuration of Medical Record window you can now edit the Audio Recording values according to your preferences (request configuration via ticket or chat) , allowing you to change audio settings for Worklist voice notes (Worklist is for Physicians only).

The settings that can be changed now are:

  1. Root Folder. Which is the directory where the file will be saved, it can be the address of a server or a local folder.

    Example: C:\\Documents\MyDocuments\AudioRecordings

  2. Encoding Type. Audio format, which can be either MP3 or WAV.

  3. Time Limit. Maximum duration of recording, in seconds.

    Example: 300

  4. Bit rate. Rate of bits (or data) per second, higher rates mean better audio quality but also heavier files.

    The bit rates for audio recordings are:

  • 64 kb/s

  • 80 kb/s

  • 96 kb/s

  • 112 kb/s

  • 128 kb/s

  • 160 kb/s

  • 192 kb/s

  • 224 kb/s

  • 256 kb/s

  • 320 kb/s

5. FTP Host, FTP User and FTP Password (File Transfer Protocol). Which are values necessary for transfering files from a server to a client on a computer network and necessary for connecting with external servers.

Recording Process

Recording while reviewing the EHR will allow you to save notes for patient's relevant information.

To start recording while reviewing the Electronic Health Record, please go to Worklist, click context menu and click on Audio Recording:

This will open up a floating window that will allow you to navigate through the Cirrus environment while still recording.

To start, look for a Patient Encounter and select it from the results, now click Start Recording.

After you're done click Stop Recording. This will enable two more options:

A. Save. This feature will save your recording on its configured root folder

B. Download. This button download the recording on your browser's default folder

Click any of those options to save your recording.

After completing saving your recording, the following message will pop up:

March 28 2022. External server saving on AWS (AS3 Bucket)*


While having the option for saving voice notes into an external server, you can now perform this action into a AS3 bucket, making your externally saved audios easier to manage. To do this, we added the Server Type option within the Medical Record Settings, where you can choose between FTP and AWS (which is the type of server to choose for Amazon S3 buckets):

Every physician will have their own folder inside this server and their exported audios will be saved there and will be named as follows:

Physician number (user number) - MRN (Patient's Medical Record Number) - Year(YYYY) + Month (MM) + Day (DD) + Number.file type

Example:

11111111 - MR0000000 - 20220323001.mp3

This will allow you to find your recordings much easier on external servers and navigate your files according to user, patient or date that you're looking for.

Here's how to add the configuration information for this new process:

  1. Go to Configuration of Medical Record and navigate down to the Voice Notes section.

  2. On Server type, select AWS

  3. Enter Root Folder name (This is where every physician's own folder will be saved).

  4. Enter file-related information such as time (in seconds), encoding type and bit rate.

5. Now enter server-related information: FTP fields for FTP server type or AWS fields (for AWS server type)

6. Save.

To try this new configuration go to Worklist (for physicians only), click Context menu and Start Recording, then:

Type your Patient Encounter

Click on Start Recording

Click Save.

*Notes: AS3 bucket credentials/configuration must be provided by our ECS team.

AS3: Amazon Simple Storage Service is a service offered by Amazon Web Services that provides object storage through a web service interface.

May 9th, 2022. Pause and Resume recording of voice notes

While recording voice notes, you will now be able to pause their recording and resume them, preventing you from stopping your audios recording during EHR revisions by adding two new buttons for pause and play:

Note: Voice notes time limits were increased, going from 10 MB to 2GB, allowing you to save audios for up to 2 hours.

This enhancement will also allow you to pause your recording when you consider that you will not be taking relevant notes and don't want to include any remarks in a while.
