Encounter Merge
In case there is two or more accounts for one single patient, you must follow these steps in order to merge the charges of both encounters into one.
Rules
None of the two accounts can contain remittances or invoices
At the time of migration, only charges and advance payments are transferred. So if you have any integrated package you should add it back to the main account.
Example: Patient 'John Doe' was admitted by ER and some initial encounter was created for him (Encounter A) where first charges were added. Later, at the end of his surgery, the patient was transferred to the hospitalization area where a second account (Encounter B) was created with the corresponding hospitalization charges. When trying to discharge the patient, we realized that he has two accounts assigned to his name, each with different charges.
The steps to follow in this situation are as follows:
First we must define which of these two encounters is the one that must be used from now on. In our case we chose 'Encounter A' as our main encounter, which contained ER charges.
Then we must check if 'Encounter B' has not yet any invoice or remittances assigned.
Now, in Close Encounter window we proceed to close 'Encounter B', which is the one from where we will migrate our charges. Before closing encounter it is important that this encounter has already a Medical discharge, if not please request it to Clinical responsible personnel (Physicians, Nursing Personnel).
Once the account to be migrated is closed, go to Current Encounters and select 'Encounter A'. Here we must add the charges that were applied in the 'Encounter B' account through the Merge option that appears in the upper right context menu. Here you can select which of all of the encounters that this patient has you would like to merge onto this main encounter.
In this way, our 'Encounter A' will have the charges and advances assigned to both accounts. Remember that the merge option does not transfer the packages assigned to the account, so if this is the case, the packages must be added again to the final account.
Now we must delete 'Encounter B', that only includes a part of the charges but first we must transfer those charges before permanently deleting this encounter.
This way we can get to keep only one encounter that will include all of the charges.
Notice: Encounters that were already billed cannot be deleted. We suggest you to delete them before creating any invoice for them. In case you have two billed encounters for one single patient, you will have to proceed with those two encounters as if they were for two different patients.
