12/19/22 Improvements for adding charges with current date and to change these dates with authorization only (Configuration needed)

We have now added da new validation settings that will allow users and supervisors keep track of date changes in charges performed in Encounter charges. This validation process can be configured if requested and it can prevent users from entering wrong dates when adding new charges and to give supervisors - which are those users with full access to this window - a new validation field where, if any user changes the default charging date, they must authorize it. This enhancement was made to improve your billing audit processes and to prevent users from choosing wrong dates (e.g. any future dates or dates before the patient arrival).

  • Configuration Needed

    To activate this validation, you must go to Configuration of Prices (Admins, ECS Staff and System only) and in Calculate Prices section you will see the Requires authorization to change the date in charge checkbox. Check it and save your changes :

After this, the behavior of changes in charge dates will be as shown below :

When adding charges, Charge Date field will have the current date as default:

You will be able to select any other if they're not before the patient was admitted or if they're not any future dates.

If date is before patient admission :


You will see a message with the minimum date allowed (patient admission date) and you will not be able to select any prior date to this.

If it's any future date :

You will see the error A date in the future is not allowed. Therefore you must select any date between the patient admission and the current date.

If user changes the charge date, they will see a pop-up window (after clicking on save button) asking for their supervisor's authorization. Here the supervisor must enter their credentials (user + password). Click accept to confirm :

After this, you will see a confirmation message :

This will give more auditing features to this process but will not allow users to edit existing charges dates.

Notes:

  • The date change on charges applies when adding a new charge, not while editing them.

  • This configuration will only impact on organizations that request it.
