Workflow window allows you to configure the approval workflow for document completion, thus allowing us to assign the approval to only some roles and requiring users to approve documents before continuing to the next steps.

Initial Settings

To configure a workflow that must be assigned to some users, first you must go to Workflow or Workflow (beta) windows. With the purpose of displaying this steps more visually, we will perform the configurations by using the Workflow (beta) window and its diagrams.

To create a new workflow login into System and follow these steps :

  1. In Workflow (beta), click on New Record and select Workflow.

  2. Here you must enter the following data :

    • Search Key

    • Name

    • Description

    • Workflow Type

    • Table (Here is where you must assign a process Table that will be linked to the approval flow).

    • Data Access Level

    • Publication Status

    • Author

  3. Save the changes.

To create a new node for this workflow, click New Record and select Node :

Then enter the Node data :

  • Search Key

  • Name

  • Description

  • Action

  • Join Element

  • Split Element

Save the changes.

To add more nodes, repeat these steps by adding a new Node :

And completing the Node details :

Save the changes.

To link these nodes steps,go to Node Transition section, click on New Record and select the transition to add (e.g. from Node 01 to Node 02 ) :

To edit a Workflow or its nodes you must login as System administrator and select it from the list of workflows. The purpose of this development is to be able to Forward an approval request to another user with the ability to approve the document, this functionality works for any document that uses the Workflow activities to be completed.

Here you ca edit their transitions :

Data Validations

It is necessary to have the Approval node:

With a transition that leads to the next node :

Also need to add the transition in the Doc Prepare node so the next step should be the Approval node:

User Role Settings

After configuring the node it is necessary to configure the supervisor to the users who must complete the requisitions. This user needs to be assigned to a role with the option Approve own documents unchecked (Just one role).

User example :

And then the supervisor Role should have the option Approve own documents checked to be able to approve the workflow.

Evidence

Let’s review the Requisition approval process.When the user completes the document, this document will be moved to the approval process:

The supervisor user will see the requisition in his document activities (Document Approval window ) :

If the users needs the opinion from another supervisor he can forward this document to be reviewed by another user. For this, the user will need to select the user in the Forward To combo, select the answer “Yes”, and click the green button to send it to the next approver. If this other user choose the answer “No”, the process is finished setting the DocStatus to “Not Approved”:

Then the supervisor is going to receive the Approval request in his Document Activities option:

If he approves the document (Choosing the Answer “Yes”), the document will be completed, so the purchasing process can be completed.

Note: This process is only available for Saudi by the moment.
